How to follow up on sent quotes and close more jobs

Sending a quote and never hearing back from the client is common, but a well-done follow-up recovers jobs that seemed lost.

Many professionals send a quote and passively wait for the client to reply, with no follow-up afterwards. In many cases, that silence doesn't mean "no", but simply that the client hasn't had time to decide.

When to make the first follow-up

A follow-up contact between 3 and 5 days after sending the quote, asking whether there are any doubts or whether they need any clarification, is usually well received and doesn't come across as pushy, especially if it's framed as help ("was the breakdown clear?") rather than direct sales pressure.

What to do if the client chooses another option

Courteously asking why they chose another offer (price, timescale, prior trust) gives valuable information for improving future quotes, and leaves the door open for the client to come back to you for a future project if their experience with the other option isn't good.

Keep an organised record

Without a system for knowing which quotes are awaiting a reply and since when, it's easy for follow-up to be forgotten among the rest of the daily work. Keeping a simple record, even a basic list, greatly improves the rate at which quotes turn into real work.
